The Cal Poly Corporation (CPC) Human Resources (HR) team provides comprehensive HR services to approximately 240 full-time benefitted, 400 intermittent, and 3000 student employees. The HR team works with multiple departments and divisions across campus including, but not limited to, CPC Business Services, Sponsored Programs, Office of Research & Economic Development, Campus Dining, Conference & Event Planning, Swanton Pacific Ranch, SLO HotHouse, Student Academic Services, College of Science and Math, College of Liberal Arts, Orfalea College of Business, College of Agriculture, Food & Environmental Sciences, and College of Engineering & Environmental Design for human resources related matters.

The HR Coordinator is responsible for assisting and coordinating clerical and technical duties on behalf of the Human Resources department’s operations, including benefits processing, retirement processing; Worker’s Compensation processing and data entry. Will assist in training development and support and generating correspondence and reports. Will assist in implementing training courses and initiatives as described in the Cal Poly Corporation’ strategic plan. Serve as back-up to the HR Managers. Assist HR Director as needed.

Job Title Human Resources Coordinator
Job Responsibilities

Assist with administering employee benefits programs, including but not limited to medical, dental, vision, life insurance, Cal PERS retirement, FSA, long term care, etc.

Support with processing insurance billing statements, ensure accuracy, and audit as necessary

Initiate New Account Requests for email, calendar, windows login, etc.

Assist in processing COBRA enrollments and coordinate with payroll department

Provide support in administering leaves of absences including but not limited to FMLACFRA, workers’ compensation, catastrophic leave

Develop and maintain health and wellness programs including processing the wellness incentive reimbursements

Input all Workers’ Compensation claims, compile timely and accurate reports, interface with injured employees, supervisors, medical facility, insurance carrier

Maintain required OSHA reports and logs

Act as Telephone Coordinator

Maintain files pertaining to this position

Provide support with data compilation of training and development needs including job analysis, surveys, evaluation sheets etc.

Assist with the development of training manuals, online learning modules, presentations and course materials

Assist with training and onboarding program needs and presentations by ordering food, room reservations, technology arrangements and calendar invitations

Conduct, organize and present new employee orientation materials

Prepare new hire onboarding materials and conduct new hire intake appoints

Help deliver effective training materials and programs using a variety of media

Input training assignments for employees and generate completion reports through the Learning Management System

Monitor training compliance requirements through the Learning Management system and follow up with employees who are out of compliance

Plan and organize employee development activities and events

Facilitate the fee reimbursement program enrollment and reimbursement procedures

Prepare onboarding materials for new hires

Administer the CPC Buddy program for new hires

Reconcile the CPC P-Card in a timely and accurate manner

Attend trainings as necessary to enhance learning or provide support

Assist managers, employees, applicants and vendors in answering inquires pertaining to human resources

Assist HR Management with tracking and processing Leave of Absences

Provide excellent customer service and friendly reception to all internal and external customers

Input data required to maintain the Human Resources database and payroll system and to produce reports to distribute to departments electronically and manually as necessary

Assist with completing a variety of reports for agencies, CSU and management

Stay current on legal updates and requirements related to this position

Responsible for maintaining job skills and compliance related knowledge

Serve as backup to Benefits and Training Manager, HR Manager and Human Resources Assistant

Perform other duties as assigned

Job Qualifications

High school degree or equivalent

Minimum two years of experience performing data processing and complex clerical activities

Minimum one year of experience in a Human Resources department

Ability to perform highly responsible and confidential duties

Excellent computer skills including Microsoft Word and Excel, electronic mail/calendar and internet

Ability to prioritize, plan, organize, and meet time lines

Ability to manage tasks, train and evaluate the performance of assigned personnel

Ability to establish and maintain cooperative and effective working relationship with others

Excellent verbal and written skills and the ability to interface with all levels of staff, university community, including students, faculty and staff, and the public

Interpersonal skills using tact, patience, and courtesy

Ability to maintain regular and reliable attendance
A background check is required for all regular benefited positions

The person holding this position is considered a ‘mandated reporter’ under the California Child Abuse and Neglect Reporting Act and is required to comply with the requirements set forth in CSU Executive Order 1083 as a condition of employment

Compensation $19.47 to $23.00 per hour
